Unlock Hidden Profit

In today’s competitive business environment, the difference between thriving and just surviving often boils down to how effectively you leverage your data. While many businesses focus on driving revenue, there’s significant potential to boost your bottom line by strategically analysing your costs. This isn’t just about cutting expenses; it’s about making smarter decisions that optimise your operations and eliminate waste.

The Untapped Potential of Cost Analysis

Many businesses are sitting on a goldmine of data that could reveal opportunities for significant cost savings. This data, when properly analysed, can provide insights into purchasing patterns, supplier pricing, and operational inefficiencies that are quietly eroding profits.

One of our clients, a plumbing wholesaler, discovered the power of cost analysis firsthand. They were able to reduce their Cost of Goods Sold by a remarkable 30% simply by gaining better control over their purchasing. This wasn’t a magic trick; it was the result of a focused effort to leverage data to inform their decisions.

Case Study: The Plumbing Wholesaler’s Success

The plumbing wholesaler faced a common challenge: fluctuating prices from multiple suppliers. Like many businesses, they’d seen their margins squeezed as prices steadily increased. However, they realised that by analysing their purchasing data, they could identify opportunities to source products from the lowest-cost supplier.

To achieve this, they needed a system that could handle the complexity of their operations. With approximately 20,000 regularly supplied SKUs (product codes) and another 50,000 occasionally supplied SKUs from three different suppliers (with plans to add up to 8 suppliers), they required a robust and automated solution.

The “Catalogue Creator”: A Tool for Optimisation

We developed a “Catalogue Creator” tool that dynamically rebuilt their catalogue, identifying the optimal supplier for each product. This process, which could have taken days or weeks with manual effort, was completed in minutes.

This tool provided several key benefits:

  • Dynamic Catalogue Management: The “Catalogue Creator” automated the process of consolidating product information from multiple suppliers, making it easy to identify the cheapest option for each item.
  • Parameterisation for Flexibility: To mitigate the risk of suppliers changing their catalogue formats, we parameterised the catalogue mapping process. This allowed the wholesaler’s staff to remap new catalogues quickly, without needing a programmer, ensuring ongoing efficiency.
  • Metadata Enrichment: The system generated additional metadata to summarise changes in the catalogues, such as price increases, new products, and discontinued items. This gave the wholesaler’s staff immediate visibility into critical information, enabling them to have proactive conversations with suppliers.

Beyond Purchasing: Invoice and Price Analysis

To ensure that suppliers were charging the correct prices, we developed an “Invoice and Price Analyser” workbook. This tool worked in conjunction with the “Catalogue Creator” to audit invoices against the correct version of supplier catalogues.

This process helped to:

  • Prevent Overcharging: By validating invoices against the catalogue, the system flagged any discrepancies, ensuring that the wholesaler paid the correct price for every product.
  • Detect Unauthorised Activity: The tool also identified unauthorised orders, blacklisted items, and invoices from unapproved regions, helping to prevent fraud and ensure compliance.

The Creation of Valuable Intellectual Property

By combining their business data with operational knowledge, the plumbing wholesaler created valuable intellectual property. This not only enhanced the value of their business but also delivered immediate financial benefits, saving them tens of thousands of dollars per month.

Key Takeaways for Business Owners

The plumbing wholesaler’s story highlights several important lessons for business owners and decision-makers:

  • Data is an Asset: Your business data is a valuable asset that can be used to drive profitability and efficiency.
  • Look Beyond Revenue: While increasing sales is important, don’t overlook the potential for cost optimisation.
  • Invest in Analysis: Investing in the tools and expertise to analyse your data can deliver significant returns.
  • Automation is Key: Automating data analysis processes can save time, reduce errors, and free up your team to focus on strategic initiatives.

Turning Data into Action

What data sources do you have access to, and how could you use them to run your business better and smarter?

Here are some questions to consider:

  • Purchasing Data: Can you analyse your purchasing data to identify opportunities to consolidate suppliers, negotiate better prices, or reduce waste?
  • Sales Data: Can you analyse your sales data to identify your most profitable products or customers, or to optimise your pricing strategy?
  • Operational Data: Can you analyse your operational data to identify bottlenecks, inefficiencies, or areas for improvement?
  • Customer Data: Can you analyse customer data to understand their needs better and provide improved service?

By taking a proactive approach to data analysis, you can unlock hidden profits and improve your bottom line.
